Mainstream Renewable Power is seeking to recruit a Senior Executive Administrator to join the Administration Team in Chile.  

This full-time position is responsible for providing administrative support to the General Manager and a Senior Team of currently six, together with the administration of the international and national flights and hotels, in coordination with the travel agent.  The position requires excellent organization skills, attention to detail, flexibility and the ability to engage effectively with multiple people in a dynamic environment. This individual must be able to work independently and demonstrate excellent interpersonal and communication skills, both verbal and written. The individual is expected to maintain confidentiality and exhibit a high level of discretion and professionalism. 

Key Responsibilities will include:

  • Act as the point of contact for the General Manager and the Senior Team.
  • Manage the General Manager’s calendar and set up meetings.
  • Prepare required materials for conferences, meetings, calls and various appointments.
  • Format information for internal and external communication – memos, emails, presentations, reports.
  • Manage information flow in a timely and accurate manner.
  • Act as point of contact with our travel agent.
  • Manage all travel arrangements: airline, accommodation and ground transportation in the most efficient way, ensuring change fees are kept to a minimum and travel is booked in-line with the company travel policy.
  • Coordinate travel to our project sites for all employees.
  • Coordinate accommodation and ground transportation for site based employees.
  • Create and maintain travel profiles for frequent travellers.
  • Prepare monthly report of flights
  • Minimize the cost of flights, optimizing the relation with the current travel agent or finding a new one.
  • Explore direct agreements with airlines, hotels or places to stay for a longer period of time, eg. rental houses or apartments.
  • Record daily expenses and prepare weekly, monthly reports.
  • Coordinate and in some cases manage and execute company meetings and events including site selection, venue coordination, and guest management. 
  • Manage information flow in a timely and accurate manner.

Required Skills and Experience:

  • At least 3 years of experience supporting an executive in a professional setting.
  • Fluent in both English and Spanish is essential.
  • Highly organized and proven ability to multi-task. 
  • Strong attention to detail. 
  • Strong interpersonal and communication skills (both written and verbal). 
  • Highly skilled in Microsoft Word, Excel and PowerPoint. 
  • Able to maintain confidential information. 

Independent decision making and problem-solving skills with the ability to develop solutions in a logical and systematic way.
